Reservations Not Picked up at Storeroom (IW32 MB21 MIGO) Final Issue @ 0 or Delete Reservation?

Hi Experts,

Looking for advice on a process within our company, and how it compares to industry standard usage.

My questions are around what happens if a reservation but needs to be canceled from the requesting end or the fulfilment end and how it impacts reporting.

Overview of our system, roles and process:
In our system requestors create reservations, storeroom attendants perform goods issues.

  • We do not consider reservations in our MRP parameter VB (consumption based planning)
  • Open reservations are cleared at the end of each shift. Because the storeroom is for urgent use / breakdown not to be used for planned work in the future. All materials for planned work is purchased using shopping carts.

Reservation Processes:

MB21/22 Cases:

  1. Reservations are created with MB21 against a cost center by requestors.
  2. If the requestor decides they no longer want the material they can flag the line for deletion in MB22.If the requestor creates a reservation but does not pick up the material before the end of the shift the material should be final issued at Qty 0 against the reservation # in MIGO using 201 movement type.

IW32 PM Cases:

  1. Reservations are created through PM orders
  2. Reservations created through PM orders cannot be modified in MB22.
  3. If the requestor / technician decides they no longer need the material they remove it from the component tab which flags the reservation for deletion. OR if all work for the work order is completed, they can TECO the work order which will also flag the reservation for deletion.
  4. If the requestor creates a reservation but does not pick up the material before the end of the shift the material should be final issued at Qty 0 against the reservation # in MIGO. (Just like in MB21/22 reservations)
  • Some of the storeroom teams want to use IW32 to delete the reservation - the PM group believes we lose traceability to who canceled the request in this case. We prefer they work in MIGO only. Does that make sense?

    5. If the requestor picked up the material from the storeroom, and then TECOs the work order before the goods issue can be performed against the reservation, the storeroom attendant should perform a MIGO 261 against the Work Order.

Questions:

  1. Given the assumptions about roles and responsibilities of our team members - does the process described make sense?
  2. Is there an industry standard for this type of process that we should be following instead?

Hello 3ngin33ring,

Technically there is no impact. But from business point of view, you need to check with your client. I request you to make a posting with zero quantity in MIGO with reference to Reservation and check following reports.

  1. MB51 report: For good movement 261 there should be zero cost and zero qty but material document should be there.
  2. MB25 report: You can show this report with all columns specially. FInal issue indicator, requirement qty, removed qty etc.
  3. Costing reports: Show the costing report such as MCI4, MCI8 etc. Here you can see cost analysis.
  4. Maintenance order IW38/39 report: SHow the costing reports to client and take their opinion.
  5. Component consumption IW13: Show IW13 report for the material and show it to client. I hope it will not show consumption.

Recommendation:

Step 1: Go to MB25 report

Step 2: Enter the Requirement date as today's date (system date)

Step 3: Set the open reservation check box and save the variant

Step 4: Run the report with layout created in such a way that it shows only those reservations where Final Issue column is empty.

Step 5: Run the MB25 report in background and send it to responsible person inbox

Step 6: At the end of shift a report will be in the inbox of responsible person to take necessary action on open reservations.

Step 7: The person will either remove the components or else post the zero qty in MIGO.

do you think the final issue of qty 0 will have impacts on reporting?

Hello 3ngin33ring,

  1. Your process looks fine.
  2. Do not give authorization of IW32 to the storeroom team. otherwise they will edit other thing inorder and they can also see the maintenance costing related things. IW32 info is not relevant to store team.
  3. Give authorization of MB25 to storeroom so that they can raise a flag if any reservation is open on maintenance department at the end of shift and ask the maintenance person to close it.
  4. Yes, you can post the goods issue with reference to order.
  5. Industry standard says that unplanned goods issue can be posted thru time confirmation also using IW41 and IW42. Its not the reservation always.
