Hi,
I have logged an enhancement request related to the Task Checklist functionality. I had a previous post and received great feedback from other companies and now have put in a formal enhancement request for the functionality. If you have any questions, please feel free to reach out to me.

Give a brief description of what business problem your suggestion helps to solve
We have some areas of our company that will have multiple trainers (observers) for a specific task checklist. The way the functionality works today is that if the employee selects multiple observers each can go in and mark completion of one or more tasks, save them, but the other observers are not aware of this because it is not visible to them. It is only until an observer records completion of the entire task checklist does it get removed from the other observers.
Do you have a suggestion for how you think that the issue can be addressed?
Yes, if the individual task completion for each observer is visible & marked to all observers selected by the user this reduces the potential for duplication of effort. In addition, adding the date/time stamp of the observer on each individual task along with making it unchangeable by any other observers (meaning once they mark it with a green check for that individual task and save or save & close it is not changeable by any other observer for that specific task). This way you get the true time of the training completed and by the observer who completed observing that individual task for the employee.
Which roles (e.g., employees, managers, HR business partners, administrators) are impacted by the issue?
Employees, Trainers (observers)
Do you think that other companies would benefit from solving this issue? Please describe
Yes, I have received feedback from other companies who want this functionality.
Thanks,
Beth Murphy

Hi Beth,
Our communiity within Pfizer has asked for a few ehancements on the task checklist.
Here are the major ones.
1. no sign off for each task with e-Sig - your request seems to be the same but did you consider adding an e-sig requirement on each task?
12 no e-Sig for the student - our sites have asked that the student also sign off on the overall checklist as this is what they currently do with a paper form for OJT
3. You can record successful completion status even if there is a failure of one task - maybe we haven't configured this correctly, but this seems strange to us that you can still peform a record successful completion when you fail a task.
So did you address any of these constraints during your review of OJT task checklists?
Regards,
Stuart

Hi,
We are no longer requiring an e-signature in our LMS for training items, but are looking for the employee consent piece like you mentioned where they are acknowledging they are trained. We have that signature on our current paper process as well. While we prefer to have that as part of the task checklist for now we are writing it into our procedure the employees will read that they are "consenting" they are trained when they request observers.
We have set the threshold in the Task Checklist settings to equal the # of tasks in the checklist so that all of them need to be completed (with a green check) before the record completion button is enabled. But you are correct the Record Failure button is then visible as well. If they select that it goes away from their Learning Plan, but remains on the employees Learning Plan until a Record Completion is submitted by an observer.
Thanks,
Beth

Hi Stuart,
Just wnated to reply on one point ....no e-SIG for the student ....this is available now and we use the 'double' e-Signature for all our GMP related checklists ...so the Observer provides an eSig and then the 'observee' provides one as well.
This is achieved through the use of the Approval process on the Item and a completion status which requires the Item eSig by the Observer and then the 'approval' eSIG by the 'observee' in order for the Item to move to the Learning History.

Hi Tim,
I wasn't aware of this....but this is grwat news.
Would you be able to share how you did this....we have started to look at the 2nd e-Sig option but I thought it was only availbable as a global option - i.e. you have to make the update for all items not just one item...would you be able to confirm how you configured this please
Cheers,
stuart

Hi Stuart,
Sure .....we basically just have a completion status that incorproates an e-Signature PLUS an approval process for the Employee. The Item has e-SIG enabled to force an e-SIG for when the 'observee' does their approval step. Screen shot below:
