Flexible Workflow Purchase Requisition Item release - deadline monitoring & escalation

We have flexible workflow for item release of purchase requisition configured with deadline monitoring. The requirement is to add an escalation process when the deadline is reached.

however with flexible workflow only Overdue is being set - there is no option found to add a custom task to loop and escalate to higher above - is this possible with Flexible workflows ? Have anyone done this before - please advise.

Hi Ganu,

So, Standard Flexible workflow doesn't provide the option to escalate the workitem & send email to a Supervisor if workitem has reached the deadline and is overdue.

We also faced this issue and asked SAP team on this by raising OSS and they responded back that this feature is not available at the moment and we are currently on S/4 Hana 2022 version.

I will suggest you to go ahead and create a custom report which will schedule in background based on Date & Time and trigger email / forward workitem to Supervisor based on custom logic.

Another option is to copy it and create a custom Flexible template and add the deadline steps as how we do in Classical workflow but you will not be able to use 'Manage Workflows for Purchase Order' Fiori App in that case. You have to take Fiori team help to create a new Fiori app using the Custom Workflow template ID and 'Manage Workflow' App which is a lot more customization than the previous option suggested.
