In SuccessFactors Employee Central projects, customers often require setting up alerts for the work order expiration as part of Contingent Workforce implementations.


In addition to that, another frequent requirement is to customize the standard alert text.


In this blog, I will present the steps through which we can set up an alert for the work order expiration and how to customize the pre-delivered text so that you can address your specific scenarios.


Steps for setting up the Work Order expiration alert:

Step 1: Create a business rule for triggering the work order expiration event using the “Work Order “object as shown below:


Step 2: Create an off-cycle event batch in “Manage Data”. In the off-cycle event batch, we will need to reference the rule previously created. If you would like the work order expiration alert to be triggered several times, mention this as shown below:



Note: This scenario reflects an alert that will be triggered first with 30 days before the work order expiration date and secondly 7 days in advance.

Step 3: Create and submit the Provisioning job that will trigger the off-cycle event as shown below.

The job type should be “BizX Daily Rules Processing Batch”. Ensure the job owner mentioned has the permissions to the Work Order object. This is a prerequisite for the alerts to be generated.


Note: After this step and setting the Provisioning Job, the alerts will be triggered 30 days and 7 days in advance of the work order expiration. The text that will be displayed is the standard one.

In this second part of the post, I will detail how to adjust the pre-delivered text and customize it according to your customer requirements. This will be done using the “Manage Languages” tool:

Step 4: In the “Manage Languages” tool, download the custom labels file and update it for the below key:

NOTIFICATION_TEMPLATE_EMPLOYEECENTER_WORKORDER_EXPIRATION

Include the text you would like based on your requirements and add the required tags. Ensure the tags are marked with a single pair of [].


Step 5: Upload the file with the custom labels in “Manage Languages” for the relevant languages.

Step 6: 30 days before the work order expiration date, the recipient will get the following alert:

This design was accomplished by setting up a business rule and the off-cycle event job, creating the BizX Daily Rules Processing Job in Provisioning and customizing the standard alert text using Manage Languages.

Through this configuration and by means of the Employee Central standard tools you can set up alerts for contingent workers based on your specific customer requirements. In addition to that, you can also ensure that the alert text is tailored to their specific needs and processes.

Thanks for the article.

I have a question :

Work Order expiration event is set up as mentioned above. On receiving first notification issued 30 days in advance, manager extends the Work Order Expiry , unfortunately this notifications are also issued again at -1 and 0 days of old end date.

Is there any configuration for controlling such notification.

Hello, a very interesting and well-explained article. My issue is that in Provisioning, I can't find the BizX Daily Rules Processing Batch. Could you tell me what the reason might be, or explain what I should do to find it?

It has been moved from Provisioning and into "Scheduled Job Manager" inside SuccessFactors UI instead.
