The SAP SuccessFactors 2005 Release brings with it a Universal Enhancement to Manage Pending Hires in SAP SuccessFactors Employee Central Product:
ECT-117192 - Manage Pending Hires Enhancements Going Universal

This blog, written by the SAP SuccessFactors Employee Central Support team for which I am a member, is aimed to provide an overview of this feature.

Answer any questions you may have on the Universal Enhancement and provide you with the best starting platform for using Manage Pending Hires effectively post 2005 production release.

The enhanced version of Manage Pending Hires was originally rolled out in the 1905 Release as an opt-in feature that customers could configure in Manage Employee Central Settings. In 2005, this feature will be universal.  

This provides customers with a new UI and improved customization options to manage new hires, rehires, internal hires, EC drafts, Concurrent Employment and Global Assignment 

The following changes have been made as part of this enhancement: 

  • The classic Manage Pending Hires UI has been improved to the new Manage Pending Hires UI. This new UI will include the same features, however offer more robust sorting and filtering of the data in Manage Pending Hires  

  • 'Enhanced Manage Pending Hires' tool has been renamed to 'Manage Pending Hires' 

  • Removal of switch in Manage Employee Central Settings to enable 'Enhanced Manage Pending Hires' (no longer needed as it is now universal) 

  • Column Names are pulled from the Succession Data Model, rather than hardcoded values which were used in the previous Manage Pending Hires UI 


There have been no changes to permissions in regard to accessing Manage Pending Hires. Administrators will still require access through the following Permission Role setting:

Customers can also now configure columns for the Manage Pending Hires UI to provide additional customization with the layout. This can be completed within the 'Configure Columns for Manage Pending Hires' tool in Admin Center. Administrators will need the following permission in order to access this tool:

As shown in the screenshot below, the 'Configure Columns for Manage Pending Hires' tool will allow customers to completely customize the look and feel of the Manage Pending Hires UI.

Important Note:

After the Universal Upgrade and permissions to the Configure Columns for the Manage Pending Hires tool have been provided, Visit the Configure Columns for the Manage Pending Hires screen before moving to the Manage Pending Hires page for the tool to work. This will initialize the columns based on the configuration of the instance.

Please note: If the corresponding field is not configured in SAP SuccessFactors Recruiting or SAP SuccessFactors Onboarding , the column will not be added in Manage Pending Hires by default. This may lead to fewer columns being shown by default in Manage Pending Hires after the 2005 Release compared to the legacy version of the tool. If you wish to add/change columns, please do so via the 'Configure Columns for the Manage Pending Hires' tool.

 

For SAP SuccessFactors Onboarding and SAP SuccessFactors Recruiting, originally standard fields that were not mapped to SAP SuccessFactors Employee Central fields would still display as Columns of Manage Pending Hires (Eg. DeptCode – Location for ONB). In the new version of Manage Pending Hires the list of columns which can be used are restricted to SAP SuccessFactors Employee Central field which are mapped to standard SAP SuccessFactors Onboarding fields with Onboarding Process Mappings and SAP SuccessFactors Recruiting fields included in the transformation data model only.  To not interrupt the behavior seen with the previous version mapped and not mapped columns can be used in column configuration. These can still be edited in the Column Configuration tool.

 

For SAP SuccessFactors Onboarding, OnboardingCandidateInfo (OCI) fields have hardcoded relations with standard keys in SAP SuccessFactors Onboarding. Only standard fields on the OCI can be used as columns in the new Manage Pending Hires.  In the previous version of Manage Pending Hires, if there was no mapping from the standard SAP SuccessFactors Onboarding fields to SAP SuccessFactors Employee Central fields for the Onboarding Process, the data for said column would still appear in the column.
With the new version of Manage Pending hires data would only appear in the Column if an Onboarding Process mapping existed for the field. To not interrupt the behavior seen with the previous version a new process has been added to the “Field Mapping tool for integration with Employee Central” tool for Manage Pending Hires.
This means for fields defined with either an Onboarding Process or a Manage Pending Hires Process, the data will appear in the column on the landing page.

 

From 2005 filtering capabilities from the drafts folder are now offered. The Draft Tabs now offer filtering on all configured columns (exception LastModified By and LastModified On Columns). This allows for faster hiring as you can easily filter on candidates to find the right person as quickly and easily as possible:

To provide some clarity regarding frequently asked questions raised by customers during the Release Q&A session (hosted on April 20th), we’ve listed the top questions/answers shared during the session:

Question: Will it be possible to still use the previous version of the manage pending hires? 
Answer: In the 2005 release it is not possible to revert to the previous version of Manage Pending Hires. Manage Pending Hires will be a universal upgrade.  

 

Question: Can we save the filters in manage pending hires?
Answer: The user-based filters cannot be saved when a user opens a new session.  

 

Question: In MPH, if we are using SAP SuccessFactors Onboarding. Can we use other fields aside from the SAP SuccessFactors Onboarding OCI Key fields to show columns in MPH?
Answer: No, with SAP SuccessFactors Onboarding 1.0 you are limited to the OCI fields.

 

Question: Is there anything I must do after the release to configure the columns? 
Answer: To navigate to the Configure Columns for the Manage Pending Hires UI you will need to provide admins with permission, please review the above section detailing the permissions required. Once permission is provided, the admin  Should visit the Configure Columns for the Manage Pending Hires screen before moving to the Manage Pending Hires page for the tool to work. You then have the option to configure or change the columns to meet you needs based on the supported columns for SAP SuccessFactors Recruiting and SAP SuccessFactors Onboarding respectively.  

 

Question: If there is no SAP SuccessFactors Recruiting mapping to an SAP SuccessFactors Employee Central column field will the data still show in the column?
Answer: In the previous version of Manage Pending Hires, if there was no mapping from an SAP SuccessFactors Recruiting field to SAP SuccessFactors Employee Central fields in the transformation data model, the data for said column would still appear in the column. 
With the new version of Manage Pending hires data would only appear in the Column if there is a mapping from an SAP SuccessFactors Recruiting field to said SAP SuccessFactors Employee Central field in the transformation data model.
