Document Information Extraction : Purpose of Documents and Templates

Hi

I have just installed the Document Information Extraction. Wondering what the purpose is for Documents and Templates. If I have 3 different Supplier Invoices do I create 3 documents and then tie all of those into 1 Template ?

I have at the moment uploaded 3 documents - when uploading a document you must choose a schema and a template. You can see from the screenshots that my documents have a template "PetersTest". But when I look at the Template only 1 document is there and this is because I specially added it on that Template tile. I was expecting it to have all 3 documents.

The use of templates in SAP's Document Information Extraction service, while not obligatory, can significantly streamline your workflow, particularly when dealing with repetitive tasks.

To illustrate, imagine you have an invoice from a supplier that includes 500 line items. Suppose that in your first attempt to extract data, the system fails to identify a specific field in one of the line items. You manually correct this by going to the first row of the line items, selecting the value, and indicating to the system that this is the 'my number' field. However, this leaves 499 rows uncorrected.

Without a template, you would need to manually repeat this process for each of the remaining rows, selecting the unextracted value and specifying that its line item header is 'my number'. This is a tedious and time-consuming task.

However, by using a template, you can avoid this repetitive work. After correcting the first row, you can save the file and associate it with a template. When you upload a second invoice from the same supplier, the system will automatically apply the template during processing. As a result, all 500 rows should be extracted successfully, saving you considerable time and effort.

In essence, the template feature of SAP's Document Information Extraction service allows for more efficient data extraction, especially when dealing with large, repetitive datasets.

Hi Jay

do you know if SAP CIM and DOX are meant to work together?

To your point - I have an Invoice that has an line item element - Code - that I might need buried in the Description but always in the same part of the item's description - see the image. How can a Template help with this the Item line(s) ? as when I press Add to Template it adds the entire Document and not just the 'instruction' where I told it to look. Seems like I need to do this for every line.
