INTRODUCTION

To use Some Fiori apps are required to have the employees ID or employee business partner integrated with the user ID to use the app such as Manage Purchasing Categories (F0337). This post shows how to create an employee business partner without integrating HCM using Fiori App Maintain Employees (F2288A). We can use Fiori app Maintain Employees (F2288A) to create employee data. With this app, we can integrate the business partner with the user ID. when we create employee data using the app Maintain Employees, the system will automatically create business partner data BUP003 role. Later on, you can modify your employee data using T-Code BP or Fiori app Maintain Employees.

PREREQUISITES

These are the prerequisites before we can create Business Partner Employees using Fiori App Maintain Employees (F2288A):

  1. Create a custom role that we can assign to the user. If you have an existing custom role that you can use, there is no need to create a new one.

  2. Create a custom catalog to add Maintain Employee tile. If you have an existing custom catalog that you can use, there is no need to create a new one

  3. Add the custom catalog which contains Maintain Employee app to the custom role.

  4. Reactivate the custom role and assign the new custom role to the user.

In this blog, we use Fiori Rapid Activation to create a custom role by copying the standard role and Fiori Launchpad Content Manager to create a custom catalog by copying the standard catalog.

Create Custom Role

  1. Open T-Code STC01 and enter Task List SAP_FIORI_CONTENT_ACTIVATION, then Execute

  1. Select the role we want to copy

  1. In this example, I copied SAP_BR_BUPA_MASTER_SPECIALIST role, Save then Back

  1. Activate the custom role by click Execute

Create Custom Catalog

After activating the custom role, we now create a custom catalog by copying the standard catalog. In this example, we copy Business Catalog Business Partner Data and add the Maintain Employee app to the new custom catalog.

  1.  Go to T-Code /N/UI2/FLPCM_CUST (Client-Specific) or /N/UI2/FLPCM_CONF (Cross-Client)

  1. Search catalog SAP_CMD_BC_BP_MAINT, then copy the catalog

  1. Enter the new catalog ID and Name

  1. After the custom technical catalog is created, we can add or remove Tiles/Target Mappings. We are going to add Fiori App Maintain Employees (F2288A) to the new catalog.

  1. Select the app ID F2288A, then click Add Tile/TM Reference

  1. The Fiori app has been added to the new catalog

Add Custom Catalog to the Custom Role

  1. Now we’re going to add our new custom catalog to the custom role. Click the Role tab and then select the custom role that we activate using Fiori Rapid Activation.

  1. Remove the standard catalog

  1. Add the new custom catalog.

Reactivate Custom Role & Assign the Role to the User

  1. Open T-Code STC01 again to reactivate the custom roles, enter Task List SAP_FIORI_FCM_CONTENT_ACTIVATION, then Execute

  1. Select the custom role.

  1. Execute to reactivate the custom role.

  1. Open T-Code PFCG to regenerate the custom role Authorization and assign the role to the user.

TESTING

  1. Open Maintain Employees App

  1. Choose Create

  1. Filled the required data and then click Create

  1. List of employees that have been created.

  1. The business partner number is created automatically

  1. Open T-Code BP, then display the employee business partner. The Business Partner has been assigned to the employee ID automatically.

  1. Open T-Code SU01, employee data has been integrated with User ID.

  1. Open Manage Purchasing Categories and the employees that are created are listed in the Fiori app.

CONCLUSION

We can maintain employee data using Fiori App Maintain Employees (F2288A). The data will automatically integrate to business partner BUP003 role. We can also assign user ID to the employee to use the Fiori app that requires employee business partner integrated with user ID SAP without integration to HCM such as Manage Purchasing Categories (F0337).

Note: I have tried to create Flexible Workflow for Purchase Order, but we have to use SAP HCM Module to use Flexible Workflow according to SAP Note 2869055.

please feel free to provide the feedback.

Hello there,

Thank you for this article, it's very helpful.

In my case, HR is not active so I am using the same FIORI tile "Manage Employees" when I fill all required field to create a Business user I get the error "HCM001 identification type is not defined"

Is there a customizing that I am missing in Business Partners ?

Thanks in advance

You can check in SPRO -> Cross-Application Components SAP Business Partner -> Business Partner -> Basic Settings -> Identification Numbers -> Define Identification Types if the Identification Type HCM001 has already defined yet.

Thank you for your reply.

I think I know the error's origin, in the customizing of the identification type HCM001, none of the following values were checked (Person, group and organization) and since in the tile when creating an employees, SAP will create a Business partner in the same time as a "Person".

Is there a list of apps (such as F0337) that are required to have the employees ID or employee business partner integrated with the user ID?

I don't know about the list, but here are apps that need employees ID to integrate with a business partner that I know of in the Sourcing and Procurement module:

Some of them need you to integrate with employee ID in HCM module, such as Create Purchase Requisitions (Self-Service Procurement) and Manage Flexible Workflow.

Hi, griffin7.

The procedure is easy (your procedure is clear), but when I try to assign catalog ZGRF_CMD_BC_BP_MAINT into role Z_BR_BUPA_MASTER_SPECIALIST (TX: /N/UI2/FLPCM_CUST), after delete catalog SAP_CMD_BC_BP_MAINT, is added without errors but when I check mantain employees app I can´t see it in fiori, and then I check again TX: /N/UI2/FLPCM_CUST and I see that catalog is not saved into role.

My user has sap_all and fiori roles also the system is open and allow modifies.

Do you know how to fix this issue?

Hi anderson.cardozo , After adding the catalog to the role, make sure you reactivate the custom role using STC01 and then add the role to the user using PFCG.

Setting the relation user - BP employee (role) is one thing but how can we revert this for users which we have setup as BP employees?

Once the relationship is there (employee in BP), you can no longer attach another userID to the same BP 9with employee role).

We ran into problems after a client copy so we have to make sure all relations between BP-employees and user Id's are disengaged.
