Hello Time Community members,


Hope you’ve read my blog on Concurrent Absences and found it helpful.


We are delivering another cool feature called “Termination End Handling” with the H2 2021 release for Early Adoption. This feature helps in improving some of the current manual processes at the time of termination. Processes such as, closure of time accounts, delimitation of time accounts, clean-up of future absences or accruals, and ensuring the balances are either paid-out or set to zero. All of it needs to be carried out manually after terminating a user. Imagine that after termination, admins need to cancel the future-dated absences manually for every terminated employee as they cannot make the correct payout if the absences aren't cancelled. Isn’t this painful, tedious and error prone? That’s why we now have an automated process during termination which I believe will help a lot of our existing time off customers.


Update: As of H1 2022 release, this feature is generally available for all Time Off Customers.

What was the real Problem?


When an employee was terminated and rehired in the same employment and within the same accrual period, the system raised an error and didn’t support automatic accrual creation on rehire.
You might have come across this issue in the recalculation logs again and again. "The user is being terminated and rehired in the accrual period. This scenario is not supported. Please create an accrual manually “


It’s very common use case in retail, hotel or in the airlines businesses that employees are terminated and rehired in the same accrual period. They do a lot of fixed-term hires so that they can rehire the same user again after the contract is over. Currently, admins need to manually update or close the time accounts using manage data. Not so nice! Some customers also use interim updates on time accounts to delimit and close the time accounts after termination but it still requires a lot of manual interventions.



Solution Overview:


This issue is now addressed with the Termination End Handling Process in Time Off. This picture gives you a brief overview of the solution.





  1. The process starts with terminating a user in Employee Central using Take action->Terminate.

  2. As soon as the termination is entered in Employee Central, the “Termination End Handling” process is triggered automatically in Time Management for subsequent clean-up activities on termination. The date on which this process is triggered depends on the termination date. Termination date is the last working day of an employee. It’s called “Termination end handling” cause the process is executed at the end of the active employment i.e., the first day from which the user becomes “Inactive”.

  3. In case there are errors due to any future time account postings such as, manual adjustments or payouts or unapproved absences, the admin is notified with admin alerts.

  4. The admin alerts can be viewed using the Admin Alerts UI with a new alert type called "Termination End Handling Alert". Admin can correct those errors and then re-trigger the Termination end handling process directly from the Admin Alerts UI.

  5. Once the process is executed successfully, the time accounts are delimited, and any future absences are cancelled. The Termination rule is called at the time of termination as before so any proration of accruals can still be done on termination.

  6. Now, if an HR admin rehires the user after some days in the same accrual period, the new accounts and accruals get created without any errors.


The following features are offered as part of the termination end handling process:




  • Global configuration or a specific configuration for certain legal entities

  • Cancellation of absences that lie after the termination date

  • Deletion or adjustments of Accrual postings that lie after the termination date

  • Delimitation and closure of time accounts. Closing of time accounts is configurable.

  • Termination triggers

    • Take Action->Terminate

    • Add New Employee with Fixed-Term Hires

    • Job Info History change with termination event



  • Creation of Admin Alerts for error cases (E.g., Manual adjustment in future, Absences with flexible requesting that overlap with termination date, pending workflow, absences with country-specific fields that overlap with termination date)

  • Re-trigger the job using Admin Alerts UI


How to Configure:


Step 1: Set the RBP permissions for all the objects delivered with Termination End Handling otherwise you can't edit the objects under Manage data.


Now, you can start the configuration. Let’s say, you want to enable the process globally for all legal entities across different countries in your company.


Step 2: Configure the Automatic process to run on termination of an employee


Set the activation status to active in the Time Management Termination End Handling Configuration object as shown. In this case, the same configuration is applied to all the employees globally. Of course the Time Management Termination End Handling Configuration object instance needs to be created first using Create New option in Manage Data.


Choose an "Offset in Days" of 1. This means the process will be executed one day after the termination date.


Step 3: Configure for specific legal entities


If you want to configure differently for legal entities, then you can do so by adding the details in the legal entity configuration. In this case, for employees belonging to Netherlands and Australia legal entity, the specific configuration defined at the legal entity level is used whereas for all other employees the global configuration is used.

The other aspects of configuration are described in detail in the Implementation guide, so I will not get into all the details in this blog.


I would like to touch upon some important aspects of the termination end handling job and execution of this process.




  1. Offset in Days: This option is provided to ensure that you can configure a certain amount of delay in the execution of the process. Usually, terminations are entered much in advance and are future-dated. For future terminations, you can choose the offset of 1 as that would be the earliest when the process is executed. However, if you are doing a past-dated termination, then the process is executed immediately. For example, with an offset of 1, if termination date is 30th September 2021, then this process is executed on 1st October 2021. Therefore, to be able to complete the closure activities, you can configure the offset to be more than 1. You can select a value between 1 and 30 for the offset. Note: It's not possible to set a negative offset as it's not recommended to execute this process before the terminate event has taken place.

  2. Future absences are required to be cancelled in order to delimit the validities and bookable periods of time accounts. Therefore, its recommended to choose “Full Automation” for absence request processing. If you don’t do that, the accounts don’t get delimited automatically.

  3. Depending on your company process, you might want to not close the time accounts on termination because you do the payout much later. Hence, you can choose to not close the time accounts automatically as part of this process.

  4. For future-dated terminations, the termination end handling task is executed by the TLMTriggerTask nightly job which checks every night if the scheduled date of the termination end handling task is equal to today's date and if so, its picked for execution.


Currently, an automated payout is not possible as part of this process. However, you can do a Period-End-Processing calendar run to make the payout after the termination end process is successful. Since the bookable end date is delimited to the termination date, the Period-End-Processing can be executed.



How does the termination end process work?


Let me take an example of a time account with monthly & bi weekly accruals. This user is hired on Jan 1st,  2021 and has 2 fixed-date time accounts with monthly & bi weekly accruals. The validity and bookable end date of the time accounts is Dec 31st,  2021.



I will terminate this user on October 6th, 2021 such that the absence from Oct 4th to Oct 8th gets delimited and the one in November is cancelled.



Now, let’s terminate this user on Oct 6th,2021 using Take action->Terminate.


Note: On the Terminate UI, the time account balances will still consider the future absences as they are not cancelled yet. So, it's better to make the payout after the execution of this process when the balances are actually updated.



Since, I have used an offset of 1 day, a Time Management Task object is created with a scheduled date of Oct 7th, 2021 and executed successfully without any errors. This date is in the past, therefore the task was executed immediately.


The might be some delay in the execution of the Time Management Task if the scheduled date of the task is in the past. For testing, you can manually execute the task. Please check this KBA: https://launchpad.support.sap.com/#/notes/3192206

This Time Management Task object gets created automatically when you enter the termination in the Job Information. It's created with a scheduled date depending on the offset specified in the configuration. The scheduled date can be modified manually or using a save rule in the time management task object but not recommended. This is in case you want to execute the process even before the scheduled date is reached.


The absences which were after the termination date are cancelled and those that overlapped with the termination date are delimited as shown:


Note: Currently, it's not possible to cancel/delimit the absences before the termination date is reached.


The future time account in year 2022 is deleted and the time account validities and bookable end dates are delimited for 2021 accounts. The future accrual postings are deleted (if already created).


Note: If the accrual period overlaps with the termination date and if the accrual posting date is after the termination date, then the accrual posting date is adjusted to the termination date as shown below:



This is the Time Account with Biweekly accruals. Here as well the accrual posting is adjusted.



Admin Alerts:


Here are some examples where you can run into error situations and where admin alerts are created.



In order to view the admin alerts, ensure that the RBP permissions for the object "Time Management Termination End Handling Alert" are set for admins.



Admin can fix those errors and retrigger the termination end processing using the Admin Alerts UI on click of the button “Retrigger the termination end handling process”. This will execute the “Time Management Task” and run the Termination end handling process again.




Conclusion:


This brings me to the end of this blog. Depending on your business process, you can choose to configure the system the way you want it. For example, a global customer having 600 legal entities across 20 countries would want to roll out/activate this feature for only some legal entities and deactivate the rest. It's possible using the flexibility in the configuration. You can exclude certain termination reasons or time account types as well depending on your needs. Please take a look at the detailed documentation in the Time Management Implementation guide under help.sap.com. Also, please check the limitations and find out if it fits your requirements before you want to make use of this feature.


One limitation to be aware of is that this feature is not supported for Time Account Types which use the Entitlement Method as "Entitled as Transferred". This is most commonly used in Australia. Hence this feature cannot be used by Australian customers as of now. This is planned to be enhanced in future.

I hope this feature will help improve some of the current manual processes around termination for our customers. More round offs to the feature are planned for future and I would be happy to receive your comments and feedback.

Thank you for sharing this blog with us. I have a question regarding future accrual postings; will this new functionality adjust the amount of posting? or just the date? ex. if accruals for October are already posted and I will terminate an employee with September date will the October posting be deleted? or just the date will be adjusted to termination date?

The future accrual postings that lie completely after the termination date will be deleted. But if the accrual period overlaps with the termination date, let's say, if you have monthly accruals and post accruals on accruable end date and if you terminate in the middle of the month, then the accrual posting date is adjusted to termination date.

At the moment, the feature will stay on Early adoption. A feature on Early Adoption can also be productively used. So,if it works for you, then you can also use it your production instance.

But if you are waiting for General availability, then I do not have a planned date as of now.

Thanks for sharing this blog! I have a question, can the balance that exists in the account already closed after the successful execution of “Termination End Handling” be paid and set to zero automatically? I have been trying with "Period-End Processing with Payout Rule" but it does not take already disengaged employees (closed time accounts), and I see that it is part of the description that you comment at the beginning, this would be part of the functionality in the future?

Thanks Priyanka and the SF Time Management Product team. This is much awaited feature.

I noticed that there is little information on time accounts which have entitlement method as 'Entitled as transferred'. The biggest example is Long service leave for Australia. At the moment when employee is terminated

  • Time accounts are not auto closed

  • Any accrual balance are still picked up in transfer to entitlement rule


Need is

  • When employee is terminated time accounts are auto closed (I believe that is now sorted)

  • During the inactive period employee should not be picked in transfer rule (this can be handled in transfer rule)

  • The biggest one is when employee rejoin the account; time accounts to be reactivated with the option to

    • Either recognize the previous service duration and without recognizing inactive period in service duration

    • Or restart the service date (incase employee is rehired after long time)




 

Do you think the Termination End Process can handle such situation. Thank you.

Thanks for the feedback.

At the moment, the Time accounts with entitlement method "Entitled as Transferred" are not considered for Termination End Process. We skip those users from processing. This limitation is also documented in the help portal.

We plan to enhance this in future.

Regarding your point on considering the previous service duration, Do you terminate and rehire in same employment because this feature is only applicable if you rehire with same employment.

Hi Viviana,

Yes automated payout is not possible as part of the termination process. If you need to make payouts using Period end processing, you can leave the time accounts open. Set the field "Level of Automation of Account closure" to "No automation" and close the time accounts as part of your PEP rule.

It is currently not planned to have automated payout as part of termination end handling as PEP offers the same functionality.

This configuration is quite interesting, which is why I want to apply it in some instances, however, when following the configuration steps and as an initial step, when activating the objects, it generates the following error.

what can be the cause of the problem?

The Early Adoption phase for this feature is already over. Please wait for the upcoming preview upgrade for H1 2022 release and then you should be able to configure the feature.

Could you please advise about the below:

Let's say we terminate a user with an effective date in future i.e. 25/05/2022. Request a leave effective at 17/05/2022.System does not allow to post the leave since the balance goes negative after the future dated termination. Could we change this so that the employee can apply for leave until his / her termination date arrives? The balance goes negative in the Time Of UI while we see that there is still an available balance under the Employement Details --> Time Account Balance as of Termination Date.

Hello Priyanka,

Thank you for the Blog, Can you please explain the Leave Payout scenario for Fixed-term employees.

Consider an employee's term is ending today and he has leave balances available in the system and since he was a fixed-term employee his termination date is already set in Job information, how would we use the leave payout feature in this case?

In normal scenario we use the stadard payout on termination screen but for fixed term what is the option? kindly help

Could you please explain which balance you want to payout during termination? Is it the entitlements balance or also the accrual balance? Do you separate the accrual and entitlement balance or have only one balance? In that case, it doesn't really matter from where you make the balance Payout. You can use the Time Admin Workbench to make the Payout.

it is accrual balance  we wanted to pay to the Contingent workforce, for contingent workers since we will not have a termination page, i need help how we make the payments, i understand in time admin page we can look at account balances and pay

but other than that option is there a way to process payout just like FTE's ??

There is manual calculation involved in adding up totals from multiple accounts if we go throug admin page

You can set the balance to zero using Period-End-Processing run as the bookable end date of the time account would be delimited to Termination date. You'll need to run the PEP calendar manually using "Manage Time Off Calendars" UI. Only the terminated user should be picked by the PEP run.

Or you can use "Interim Time Account Update" run.

Just wondering if someone would be able to help me with the configuration that is needed to ensure the time account do NOT close on termination?

No there are no further enhancements made for the "Entitled as Transferred" method. Could you please create an influence request ? With H2 2022 , we delivered a feature where the payout balance on termination is calculated without considering the future absences.
