In June 2023, SAP announced that it will sunset the SAP SuccessFactors Onboarding 1.0 solution in the H1 2026 release. Customers are advised to migrate from SAP SuccessFactors Onboarding 1.0 to the new SAP SuccessFactors Onboarding solution by the end of 2025.

For some customers this is an opportunity for transformation. For other customers, it is something that wouldn’t be under consideration if it weren’t for the announcement by SAP. In either case, around a thousand customers will be undergoing a brand-new implementation of the new SAP SuccessFactors Onboarding solution within the next 48 months. Migrating from SAP SuccessFactors Onboarding 1.0 to the new version can often be a complex and resource-intensive task. To add a sprinkle of challenge to the situation, there are only a limited number of consultants with experience of implementing both SAP SuccessFactors Onboarding 1.0 and the new SAP SuccessFactors Onboarding solution.

In order to reduce the cost and effort of migration – as well as ensure that as many customers can move given the constraint of experienced SAP SuccessFactors Onboarding consultants in the market – TSP have developed a solution to automate large parts of the migration from SAP SuccessFactors Onboarding 1.0 to the new SAP SuccessFactors Onboarding solution.

The solution is composed of three parts:

  • The technical migration solution built using Robotic Process Automation (RPA) technology
  • A Project Methodology
  • A set of Project Accelerators

The technical migration solution utilizes over 150 bots built on UiPath to automate multiple parts of the migration. We’ll touch more on this shortly.

The project methodology is built on TSP’s vast experience of implementing SAP SuccessFactors Onboarding 1.0 and the new SAP SuccessFactors Onboarding solution, as well as performing “manual” migrations in the past. This methodology is supported by over ten different project accelerators, such as project plans, capability analysis, test scenarios, and more.

How does this solution work?

The solution works using a three-step process, as demonstrated in this workflow:

This process allows for optimization or even transformation of onboarding processes as part of the migration project, so all types of customers can take advantage of the solution.

Every bot process is triggered by and validated by a consultant to ensure control and accuracy during the project.

As part of the project, TSP’s proprietary SAP Testing Automation solution for SAP SuccessFactors is utilized to test the solution and provide results to the customer so that they can use it as an aid in performing their own testing and solution validation.

Additionally, a family of bots have been built to automate the cutover from Development to Test (if required) and from Test to Production.

What are the benefits of using the solution?

Based on internal testing and current customer projects, we are seeing a reduction in effort of between 40% and 60% versus a brand-new implementation of the new SAP SuccessFactors Onboarding solution. The saving is made by automating various configuration tasks, such as:

  • Furnish Equipment
  • Picklists
  • Day One Lists
  • Responsible Groups
  • Programs
  • Custom PDF Forms
  • And more…

This reduction in effort filters down to a reduction in cost to customers. It also means a shorter implementation time, although with necessary activities like testing, training, and change management still needed, this doesn’t always equate to a 40%-60% reduction in the project length. Typically, we see around a 35% reduction in the project timeline, although different customers can see a shorter or longer length of the project. This depends on various factors, such as resource availability, number of processes to test, number of integrations, etc.
